On Asana, use the ‘My Tasks’ section to keep track of your own tasks.
This will show all tasks that are assigned to you, no matter which project they’re part of. Find it here:

The default view is a list of all tasks, sorted into sections. This is useful when you don’t necessarily have due dates and just want to view everything that you need to do. But, it can quickly get overwhelming and hard to prioritize if you have a lot on there:

You can use the calendar view to see everything in date order. Up the top right you can swap between week view or month view:

You can also use the ‘board’ view, which is similar to the list view, but it will sort all of the sections horizontally instead of vertically:

When in list view, select ‘add task’ from the top left to start a blank task:

Add a task in board view
Select ‘add task’ at the bottom of the applicable section:

Add a task in calendar view
Simply click on the date that you want to add the task to and a blank text box will start:

Once you’ve given the task a name, click anywhere on the task (except the tick on the left) to bring up the task details on the right hand side of your screen.

When you click on a task from any of the 3 views, it will bring up the following screen:

From here, you can change the assignee, add it to projects, attach photos or links, add detailed descriptions etc. Continue reading below to see how to do each of these things.

Changing the assignee
Underneath the title, it shows who the task is assigned to i.e who is responsible for completing this task. Since you created this task in “My Tasks”, it’s already assigned to you.

But if you want to change this, hover over your name to bring up an X on the right hand side. Click this to remove yourself as the assignee. Now it will show no assignee:

Click on the person icon to add someone else to the task. You can select from the dropdown box, or you can start typing their name.

Please note that once you do this, it will no longer show up in your “My Tasks” screen, and will show up on the other persons instead. You can only have one assignee per task.

Adding a due date
If you have added the task from the calendar view, the due date would have already filled. If not, it will be blank:

Click on the calendar icon to bring up the following screen:

You can choose the due date from the calendar, or type it in the box up the top right.
You can also add a start date, if you would like the task to occur over multiple consecutive days.
At the bottom, you can use the clock icon if you’d like to add a more specific deadline e.g. by 3pm on Friday instead of just Friday.
Using the two arrows beside it, you can set the task to repeat instead of creating a new task every time. Beside “repeats”, choose from the dropdown box how often you would like it to repeat and when:

So in the example above, the task would repeat every Wednesday.
But you can also choose Monthly on the 1st, or periodically 10 days after you complete the task for example. There’s also a custom option if you’d like to adjust this even further.
Please note that the reoccurring task will not appear until you mark the current one as complete.

Adding collaborators
Although you can only add one assignee to the task, you can add more collaborators if you’d like other people to be notified of the progress.
At the bottom of the task, it will show all of the collaborators. By default, this will only show the person who made the task. Click the plus to add a new collaborator:


Now, this person will get notifications regarding the task, but they are not necessarily the person responsible for completing it.

Adding documents
While in the task, you can use the paperclip icon to attach any relevant documents or photos.

This can be useful for things like entry notices if we need to contact guests, photos for repair/replacements, or screenshots of RMS etc.
