How to check the cancellation/prepayment policies for direct (GCLR website) bookings

Low Season 27/01 – 15/12
The following policies apply to bookings with an arrival date between 27th of January and 15th of December.

For direct bookings, and booking.com bookings, no prepayment is required until 31 days prior to arrival. At this time, the full amount is due.

If they book within 31 days of arrival, the full amount would be due at the time of booking.

At the time of payment being due, they will automatically receive a link via email and SMS which directs them to our website to make the payment. We cannot take card details over the phone, so if they are unable to make payment on this link then the only other option is bank transfer. 

However, direct bookings and booking.com bookings still have free cancellation until 7 days prior to arrival.

This means that they do have to pay 31 days prior to arrival, but if they cancel more than 7 days prior to arrival then the full amount will be refunded. Please note that credit card surcharge is non-refundable.

To cancel the booking, they must email through written confirmation of their cancellation request. Once we have received their cancellation request, open their reservation in RMS and click on Accomm. Click on the Base Rate, then Corrections, and Void Charge. Then cancel the reservation by changing the status of the reservation from ‘Confirmed’ to ‘Cancelled’.

If there is any money to be refunded, please file their email into the refunds folder for a manager to refund. Or, if they paid via direct deposit (bank transfer) please request their bank details as it will need to be refunded the same way. Once you have those, then forward it to a manager.

If there is any non-refundable money, you will need to apply cancellation fees.
Peak Season 16/12 – 26/01
The following policies apply to bookings with an arrival date between 16th of December and 26th of January.

For direct bookings, and booking.com bookings, a 30% non-refundable deposit is due at the time of booking. This means that if they cancel at any time, the deposit will be forfeited as a cancellation fee.

The remaining balance is due 31 days prior to arrival and also becomes non-refundable. If they book within 31 days of arrival, the full amount would be due at the time of booking. This means that if they cancel within 31 days of arrival, the full amount will be forfeited as a cancellation fee.
